HOW IT WORKS

From patchwork to one finance function.

What actually happens between the first call and the month where you stop thinking about your accounting at all. Three phases, a fixed monthly rhythm, and a short list of things we need from you.

THE STARTING POINT

What most owners have is not a finance function.

It is a patchwork that grew one hire and one emergency at a time, and it works right up until a decision depends on it.

The patchwork

  • A bookkeeper who records what already happened, accurately or otherwise
  • A CPA engaged once a year, for the return
  • Payroll in one system, bills in another, receivables in your head
  • Statements that arrive weeks late and get skimmed, not used

What replaces it

  • One team accountable for the record and the decisions on top of it
  • A close that lands on a published date every month
  • Payables, payroll and collections run on a calendar you can see
  • A rolling 13-week cash forecast provided on a regular cadence
  • A standing working session where the numbers turn into choices
THE SEQUENCE

Three phases, then a rhythm.

Phase one
Weeks 1–3

The Financial Checkup

We do not quote a finance function blind, and we do not ask you to trust a scope written from a discovery call. Phase one is a full diagnostic, included in every engagement: we get read access to your books and systems, rebuild the last several months into something comparable, and find out what is actually true.

Cash flow and margin analysis on real, restated numbers
Reporting, KPI and systems review
Risk and leakage assessment — where money leaves quietly
Written findings in plain English, plus a 60-minute debrief
Phase two
Days 30–60

Cleanup and build

The heaviest stretch, and the only one that asks real time of you. We fix what the Checkup found and stand the function up properly, rather than layering new process onto a broken record.

Chart of accounts rebuilt around how you actually operate
Books brought current and reconciled; prior periods restated where they need to be
QuickBooks setup, migration or cleanup
Payroll, AP and AR transitioned onto our calendar, with approval paths you control
The first 13-week cash forecast, built with you rather than handed to you
Phase three
Ongoing

The running rhythm

Fixed monthly cadence, same dates every month, so you always know what is coming and when. This is the part that compounds: by month four we have enough context to provide actionable insights

THE MONTHLY RHYTHM

What a month looks like.

Week one

Close

Prior month closed and reconciled, statements issued on a published date. No waiting to find out how the month went.

Week two

Report & forecast

CFO report and KPI scorecard, and the 13-week cash forecast rolled forward with what the close actually showed.

Week two or three

Working session

We walk the report together and decide what to do about it — pricing, hiring, timing, collections. A conversation, not a presentation.

Every day

Access

Questions between sessions get an answer within 24 hours. Ad hoc requests are part of the fee, not a change order.

Quarterly

Once a quarter, we go deeper.

A longer session against the budget: what the last quarter actually did versus what we said it would do, where the plan needs to change, and any scenario worth modeling before the next quarter starts. Multi-entity clients get consolidation and intercompany review here too.

WHAT WE NEED FROM YOU

Heavy for a month. Light after that.

During onboarding

Read access to your books, bank, payroll and billing systems
An hour or two of questions about how the business actually runs
Introductions to your CPA, banker and anyone currently touching the books
Decisions on approval limits and who can authorize what

Once the rhythm holds

The monthly working session
Approvals, where you have asked to keep them
A heads-up when something big is coming, so we can model it early
FIT

Who this is for, and who we would send elsewhere.

We would rather tell you no on a first call than three months into an engagement.

A good fit

  • Stable revenue and a real desire to grow, not just to survive the quarter
  • Willing to invest in expertise to take the business to the next level
  • Goals that require better information than a bank balance
  • Multiple entities, an odd revenue model, or complexity nobody has untangled
  • Ready to let someone else own the function rather than supervise it

Where we would point you elsewhere

  • Cash is tight enough that the fee itself would be the problem. Get stable first, then call us.
  • Pre-revenue, or not yet running the transaction volume for a back office to earn its keep
  • You need audit, attest or tax filing work, which we do not provide
  • You want a one-time cleanup with no ongoing relationship
Waitlist

Onboarding capacity is limited.

Phase two is the heaviest work we do, and we will not run more of them at once than we can do well. When the onboarding calendar is full, new clients start in the next open slot. Applying early costs nothing and holds your place.

Bring your questions. We will bring the answers.

Thirty minutes to look at what you have and tell you which engagement fits — or that neither does.
